What are the hidden or unexpected costs for a website?
They may be hidden now, but through our approach at Butter - we make them clear so you can budget for your project effectively.
Web development projects generally have 4 cost components.
- Project Cost: Fixed fee for an end-to-end web design and web development project to launch your new website, with ballpark figures mentioned above.
- Web hosting: Web Hosting fees can vary depending on the technical requirements of the website & web hosting infrastructure - but don’t fret; at Butter we handle all recommendations for keeping your website running with high performance. Our web hosting packages include all server deployment, monitoring, and emergency response. All are summarized quarterly in an easy-to-digest report.
- Optimisation and Support: Over 400+ projects, ongoing support costs equate to roughly 5-20% of the project cost in annual maintenance. So if your website project was priced at HKD$500k, a level of agency retainer to help you optimise and make the most of your site can range from HKD$25k to HKD$100k annually.
- Software Updates: Depending on the CMS you decide on, and what plugins are used to power functionality, there can be monthly, annual or upgrade costs for your software. Craft CMS for example, is a US$299 license fee, and US$59 per year for updates - if you so decide. Other common paid plugins we use from the Craft CMS plugin store are SEOMatic (US$99 license fee) and Image Optimize (US$59 license fee). Our upfront budgeting and planning for your website will cover all of the plugins and associated costs so you can be confident you know the full costs for now and into the future.
And one major, usually unplanned cost: Your resource.

With this approach, our clients need to contribute resources throughout the project.
Workshops, strategy sessions, web design feedback and approvals, and time for testing while preparing the website to go live.
As an illustration, a large website project that fell into bucket 3 above (HKD$350k-$650k) required:
- ~800 hours of Butter’s agency time for web design, web development, testing and launch
- 250 hours of our clients’ time to work with us on the process, develop content (usually a huge time investment!) and get the site ready for launch.
Over 1,000 hours or 125 full work days of resource!
For our client, 250 hours was across 4 months (roughly 16 weeks / 80 work days) - That is just over 3 hours every work day spread across a client project team of 3.
These ‘costs’ aren’t hidden but are usually not recognised and planned by our clients.
